Volunteer Centre Borders ("VCB") is a charity registered in Scotland with charity number SC26063 and its registered office is at Riverside House, Ladhope Vale, Galashiels, TD1 1BT. It is also a Limited Company (Company No. 287109). In this policy "we", "us" and "our" means VCB.

2 Information

2.1 We know that you care how information about you is used and shared and we appreciate your trust in us to do that carefully and sensibly.

2.2 The www.vcborders.org.uk site is managed and maintained by VCB and any personal information provided on the site or gathered on the site will be controlled by us and we will be the data controller of such information.

2.3 Volunteer Centre Borders will primarily use a user's information to match the user to volunteering opportunities as they become available. Where VCB matches an individual’s details with an available volunteering opportunity we will seek the user's consent before passing on their name and relevant contact details to the third-party organisation that is supplying the volunteering opportunity. The third-party organisation may then use this information to contact the user directly in respect of the volunteering opportunity. By submitting your details to us we will use your data in such manner and you agree to the same.

2.4 Volunteer Centre Borders also uses information to produce aggregated and statistical demographic reports on individuals and organisations. No individual or organisation will be personally identifiable from these reports.

2.5 Information provided will be used, inter alia, to target volunteering needs within the respective local authority areas.

3 Disclosure and security

3.1 Although we make every effort to preserve user privacy, we may need to disclose personal information when required by law or where we have a genuine belief that such action is necessary to comply with a current judicial proceeding, a court order or legal process served on us.

3.2 We may share aggregated demographic information with the Scottish Executive to fulfil funding requirements and to help identify areas of need within the volunteering sector. This information is not linked to any personally identifiable information.

3.3 Information held online is held in encrypted, password protected files. Our files are protected Avast Internet Security and Anti -virus.

3.4 The website contains links to other sites but we are not responsible for the privacy practices of such other sites. We encourage our users to be aware when they leave our site and to read the privacy policy of each and every website that collects personally identifiable information. This privacy policy applies solely to information collected by this website.

4 Updating and Deleting Personal Information

4.1 You may register for our newsletter, email information and announcements via our website.

4.2 It is not possible for a user to delete their details via this website but you can do this by contacting us by phone, letter or email.

4.3 A member of our staff will delete your information on request and subsequently your information shall be deleted from the central online database.

5 Notification of changes

5.1 If we decide to change our privacy policy, we will post those changes on the website and such other places we deem appropriate so that our users are given the opportunity to be made aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it. We will use information in accordance with the privacy policy under which the information was collected.

5.2 If, however, we intend to use personally identifiable information in a manner different from that stated at the time of collection of such information we will notify users via email. Users will have a choice as to whether or not we use their information in this different manner. However, if users have opted out of all communication with the site then they will not be contacted, nor will their personal information be used in this new manner.

5.3 If we make any material changes in our privacy practices that do not affect user information already stored in our database, we will post a notice on our website notifying users of the change. In some cases where we post a notice we will also email users, who have opted to receive communications from us, notifying them of the changes in our privacy practices.

6 Law and Jurisdiction

This Policy and any dispute or claim arising out of or in connection with it or its subject matter or formation (including non-contractual disputes or claims) shall be governed and construed in all respects in accordance with Scots Law and the Scottish Courts will have the exclusive jurisdiction to settle any dispute or claim that arises out of or in connection with this Policy and its subject matter or formation (including non-contractual disputes or claims).
